Hiring staff to reply to customers on WhatsApp — is it worth it?

Short answer: Hiring is worth it when the work needs judgement — complaints, negotiation, closing that needs a human. If 80% of messages are "how much", "in stock?", "how many days to ship", "can I pay on delivery" — you are paying a monthly salary for someone to type the same sentence 100 times a day. Count the kinds of messages coming in first, then decide.

The cause is structural, not personal weakness. The Department of Statistics Malaysia reported 1,086,386 MSMEs in 2024 — 96.1% of all businesses — with 70.1% of them micro enterprises. A micro enterprise means the owner, maybe one more person, and a single phone that is customer service, sales and admin all at once.
What will that staff member actually do all day?
Open your business WhatsApp, take the last three days, and count incoming messages by type:

Almost every owner who does this exercise sees the same shape: the first two rows are the large majority. Those two rows are not a job — they are a system that has not been written yet.
What does a WhatsApp-reply staff member really cost?
- Training. They need to know prices, policies, stock — everything in the owner's head. A week or two before they can be left alone.
- Mistakes. An old price given. Shipping promised for tomorrow when stock has run out. The owner is the one who answers to the customer.
- Leave, sickness, resignation. And at 11pm, staff are asleep.
- The owner still has to check. Because the owner does not know what the staff member has promised.
This is not an argument against hiring. Some businesses need a human at the front. It is an argument for hiring humans for work that needs humans — not for typing "RM35, free shipping".
