A property agent with 40 listings — how does the AI know which listing the prospect is asking about?

Short answer: One listing, one entry — not one long list of every unit. When a prospect asks "how much is the Setapak one?", the AI pulls only the Setapak entry: price, size, floor, parking, maintenance, freehold or leasehold. When 40 units are mixed into one block of text, the AI will mix up details from other units — not because the AI is weak, but because it was handed a pile and expected to know which one you mean.
Why is an agent's flow different from a shop's?

If the AI does not know which unit "12th floor" is, it answers about a different one — and the prospect loses trust in a single message. This is a real question an agent typed to Merpati: "How can i separate my listings for the ai to know which listing facts". He saw the problem before he started.
What goes into one listing entry?
- The reference name prospects themselves use — "PV21 Setapak", not an internal code.
- The full address — so distance questions can be calculated (see A prospect asks "is this house far from the LRT?").
- Price, size, rooms, floor, parking, maintenance, freehold/leasehold, status (vacant / tenanted).
- The questions prospects always ask about that unit — "is there a gym?", "pets allowed?", "which schools are nearby?". This is the part most often missed.
- What the AI should not answer — price negotiation, the owner's terms. Write: "for negotiation, I'll connect you to the agent".
What happens when a listing is sold?
The entry is removed or marked "sold". The AI stops answering about that unit immediately. This is why an AI that learns from Facebook posts is risky for agents: the post for a sold listing is still there, and the AI keeps selling it.
A prospect wants to view — what does the AI do?
The prospect asks "can I view on Saturday?". The AI asks back for a name, a time, which unit — then adds it to a list for the agent to confirm. When the prospect asks something that was not written — "how low can you go?" — the AI does not guess; it connects them to the agent with a summary: who, which unit, what they want.
How long does it take to enter 40 listings?
What takes time is not setting up the system, but typing. 40 listings with the details above is one afternoon — typed once, and after that every prospect gets the same precise answer, even at 2am.
